How Swayam collects, uses, and protects information when you use our website and agentic CRM platform.

1. Who we are

Swayam (“we”, “us”, “our”) provides the Swayam agentic CRM and related services at swayamapp.com. This policy describes how we handle personal data for visitors, account holders, and end users whose information is stored in a customer's CRM workspace.

2. Information we collect

Depending on how you use Swayam, we may collect:

  • Account data — name, email, phone number, organisation/outlet details, and authentication identifiers when you sign up or sign in.
  • CRM & business data — leads, contacts, pipeline stages, activities, notes, tags, quotations, and other records you or your team enter into the product.
  • Communications data — WhatsApp messages, templates, delivery status, and call logs when messaging integrations are enabled.
  • Marketing & ads data — campaign metadata, UTM parameters, and performance metrics when Meta or similar integrations are connected.
  • Payment data — billing contact details and transaction references processed through Razorpay. We do not store full card numbers on our servers.
  • Technical data — IP address, browser type, device information, session logs, and usage events needed to operate and secure the service.

3. How we use information

We use personal data to:

  • Provide, maintain, and improve the Swayam CRM platform
  • Authenticate users and enforce role-based permissions
  • Sync leads, messages, and reports across integrated channels
  • Process subscriptions and payment confirmations
  • Send service-related notices, security alerts, and support responses
  • Generate AI-assisted briefings, next-step advice, and analytics you request
  • Comply with law and prevent fraud, abuse, or security incidents

4. Legal bases (where applicable)

We process data based on contract performance (providing the service you signed up for), legitimate interests (security, product improvement, and B2B operations), and consent where required—for example, marketing outreach or certain messaging workflows.

5. Sharing & subprocessors

We do not sell personal data. We share information only with service providers that help us run Swayam, such as:

  • Google Firebase — authentication, database, storage, and hosting
  • MSG91 / WhatsApp providers — message delivery when you enable WhatsApp features
  • Meta — ad insights and lead capture when you connect an ad account
  • Razorpay — payment processing for paid plans
  • AI service providers — to power in-product AI features you initiate (e.g. lead advice, dashboard briefing)

Each provider processes data under its own terms and only as needed to deliver the integrated feature.

6. Data retention

We retain account and CRM data while your subscription or workspace is active. You may request deletion of your organisation's data subject to contractual, billing, and legal retention requirements. Backup copies may persist for a limited period before automatic purge.

7. Security

We use industry-standard measures including encrypted transport (HTTPS), Firebase security rules, permission-scoped access, and outlet-based data isolation in the multi-tenant architecture. No method of transmission or storage is 100% secure; please use strong passwords and limit access within your team.

8. Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, or export personal data, and to object to certain processing. Workspace administrators can manage most team and lead data directly in the product. For other requests, contact us using the details below.

9. Cookies & similar technologies

We use cookies and local storage for authentication sessions, theme preferences, and essential site functionality. We do not use third-party advertising cookies on the core CRM application.

10. International transfers

Data may be processed on servers operated by our cloud providers, which may be located outside your country. We rely on appropriate safeguards offered by those providers where required.

11. Children

Swayam is a B2B product not directed at children under 18. We do not knowingly collect personal data from children.

12. Changes to this policy

We may update this policy from time to time. Material changes will be posted on this page with an updated “Last updated” date. Continued use of Swayam after changes constitutes acceptance of the revised policy.
